4. How we use information
We use the information we collect to:
- respond to your enquiries, arrange consultations and walkthroughs, and prepare proposals;
- provide, operate, host, maintain and support the Service;
- process payments and send related information, such as invoices and receipts;
- send service messages, such as updates, security alerts and support replies;

5. Your customers' data in your system
When you use RUENGINE to manage your own customers, leads and staff, you decide what information goes into your system and how it is used. For that information, you are responsible for it and we process it on your behalf, only to provide the Service, as set out in your Client Agreement. If your customers ask us about their information, we will refer them to you.
6. Sharing and disclosure
We do not sell, trade or rent personal information. We may share information with:
- Service providers that help us run the Site and the Service, such as hosting, payment, messaging, telephone and email providers. They may only use it to provide their services to us and must keep it confidential.
- Tools you connect: when you connect a third-party tool to your RUENGINE system, information is shared with that tool as you direct.

- Business transfers: in connection with a merger, acquisition or sale of assets, with the information remaining protected by this policy.
7. Spark AI, calls and messages
If you use Spark AI, calls, messages and their transcripts are processed to answer enquiries, book appointments and follow up leads, and are saved to your system as set out in your proposal. Your business is responsible for telling callers and message senders that an AI assistant may answer, and for any consent the law requires.
8. Cookies
We use cookies and similar technologies to keep the Site and the Service working, remember your preferences, such as light or dark mode, and understand how the Site is used. You can set your browser to refuse cookies or to alert you when cookies are being sent. Some parts of the Site and the Service may not work properly without cookies.
9. Data security
We use appropriate technical and organisational measures to protect personal information against unauthorised access, alteration, disclosure or destruction. These include access by role, encrypted connections and regular backups, as set out in your service plan. No method of transmission over the internet or of electronic storage is completely secure, so we cannot guarantee absolute security.
10. Where data is stored
Each client's system runs on its own dedicated instance, hosted with our hosting providers. Information may be processed in countries other than your own, where data protection laws may differ. Where this happens, we take steps to keep it protected as described in this policy.
11. Data retention
We keep personal information for as long as needed to provide the Site and the Service and for the purposes described in this policy, unless a longer period is required or permitted by law, for example for tax records. When a client leaves, data is exported and deleted as set out in their service terms.
12. Your rights
Depending on where you live, you may have the right to:
- access, correct or delete your personal information;
- withdraw consent where we rely on consent;
- object to, or ask us to restrict, how we use your information;
